What an HVAC invoice must include

An invoice is a record of work and a request for payment. Include your legal business name, contact details, applicable license information, and a unique invoice number. Identify the billed customer and the service address separately when they differ. Add the service date, invoice date, due date, work-order reference, and technician when those details help connect the invoice to the job record.

Describe completed work in terms the customer can recognize. Itemize tasks, equipment, discounts, tax, deposits, payments, and balance due. Include model and serial numbers when they support equipment history or warranty records. State accepted payment methods and the agreed due date without adding terms the customer did not previously accept.

Common invoice mistakes

  • Sending a total without a recognizable description of the completed work.
  • Failing to apply the customer’s deposit or same-day payment to the balance.
  • Using the estimate date as the invoice date or omitting the payment due date.
  • Listing tax, discounts, or fees inconsistently with the final approved work.
  • Copying model and serial numbers without verifying them at the equipment.
  • Leaving payment instructions or the contractor’s contact information off the invoice.

When a printable invoice stops scaling
