Residential HVAC, booking to rebate

Every booking lands on the right truck, and every job ends with the paperwork done.

Plenum takes the booking and puts it on the route already nearby. The technician runs the job from a phone. The estimate, invoice and rebate forms stay on one customer record.

Built with UniColorado Heating & Cooling in Denver · Used on their jobs every day

A Denver block from above, from morning to evening. A booking lights up a house, the nearest truck drives there, the job is marked done and the invoice is paid.

One job, start to finish

Booking, route, visit, money and paperwork, on one customer record.

  1. Step 1: Book

Customers pick from times you offer, online or from a text link. The office books the same times by phone.

  2. Step 2: Route

Each request is weighed against work already nearby, so a truck spends the day in one part of town.

  3. Step 3: Work

The technician has the job, the history, the photos and the estimate on a phone, signal or not.

  4. Step 4: Record

Estimate, approval, invoice and payment stay on one customer record. Nothing is typed twice.

  5. Step 5: Paperwork

Rebate forms and tax-credit papers start from the equipment that was installed.

Work lands on the truck already nearby

Plenum weighs each request against the stops already on the board, drive in and drive out included. The dispatcher sees the fit and still makes the call.
  • Drive time is part of every time offered
  • Conflicts show as warnings an admin can override
  • Moves and reassignments notify the technician
A dispatch map with sample data. Three trucks have routes for the day. A new furnace tune-up in Lakewood is placed on Truck 2 between two stops it already has, with 9 minutes of drive in and 7 out. A warning says the day runs into a 12 PM block, which an admin can override.

The technician runs the job from a phone

Today's jobs, the customer's history, their equipment and every photo are in the field app. Estimates are built and signed on site. Work keeps going where there is no signal.

One record from estimate to rebate

The option the customer picks becomes the install, the invoice and the rebate paperwork. The office never retypes a model number.

  • Up to five options on one estimate, each with its own price
  • Invoices go out with a pay link by text or email
  • Rebate and tax-credit paperwork starts from the installed equipment

An estimate, an invoice and a rebate packet for the same customer, fanned out on a desk, then stacked and bound into one blue folder with the customer name on the tab.

Questions about Plenum

What does Plenum do?

Plenum runs a residential HVAC shop from the first booking to the rebate paperwork. That covers online booking, scheduling and dispatch, the field app, estimates, invoicing, the customer portal and rebate forms. Every step lives on one customer record.

Do I have to stop using Housecall Pro?

No. Plenum syncs with Housecall Pro in both directions, so you can run both while you move over. UniColorado still does.

Does the field app work without signal?

Yes. Job details and customer history are kept on the phone. Changes made with no signal wait on the phone and sync when it comes back.

How do customers see estimates and pay?

They get a link by text or email that opens their estimate, invoice or appointment. There is no password or account. They can approve and sign an estimate, or pay an invoice by card, from that link.

Which rebates does Plenum handle?

Plenum matches installed equipment to the rebate programs it qualifies for and starts the paperwork from the job record. UniColorado files Xcel Energy rebates and federal tax-credit papers this way.

What does it cost?

Plenum is $999 a month with five technician seats, plus published usage rates for storage and API calls. The pricing page lists every rate.
